How-To Guide for Gmail Delegation
To manage multiple accounts from one master account, Gmail delegation is incredibly useful. Using this feature, a user can delegate access to their Gmail account to another person who can send and receive messages on their behalf. Gmail delegation is especially useful when one user has multiple projects, businesses, or roles that require different email addresses – rather than manually logging into and out of multiple accounts, they can manage all of their email accounts from one place with Gmail delegation.
This tutorial will explain how to configure Gmail delegation to make the most of this helpful tool.
Step 1: Setting Up Your Delegate Account
The first step is to set up your delegate account – the person who will be receiving delegated access from your main account.
To do this, open up your primary Gmail account and navigate to Settings > See All Settings > Accounts and Import > Add Another Account. A small window will pop up and from here, you can enter the details for the delegate account, including its username (E-mail address) and password. Once you’ve done that, click Next Step and then Send Verification.
Step 2: Granting Access
Once the delegate account is verified, you can grant it access to your primary Gmail account. To do this, go to Settings > Accounts and Import > Grant Access To Your Account. Here you’ll see an option for ‘Grant Access To.’ Select your delegate’s email address from the drop-down list and click Send Invitation.
Step 3: Receiving Invitations
Once you’ve sent an invitation to your delegate’s email address, they will need to accept it before they can start using their delegated privileges. This should arrive as an invitation in their mailbox, which they will need to open before clicking ‘Accept Invitation’ to complete the setup process. After accepting it, they will have full access to your primary Gmail account using their own username and password credentials.
Step 4: Using Delegated Access
Now that both accounts are set up with delegated access privileges enabled, users can begin taking advantage of these features right away – once logged into either one of them, both accounts become accessible within the same interface seamlessly through a drop-down menu in the top right corner showing both linked accounts (main & delegate). In addition, all emails sent/received from each account will display in both of their inboxes depending on which one was used to send/receive those emails.
Furthermore, all labels created by either one will appear in both of their profiles once they’re linked together. In addition, all calendar events will be synchronized as well, making the feature a convenient and easy way for users to manage multiple accounts!
